Collection and Use of Personal Data from Customers, Suppliers, and Other Contractors
We would like to inform you that we will collect and use the personal data you provide to us as this is necessary for entering into and executing any agreement with you. This applies to both our (potential) customers and parties from whom we purchase goods and/or services.
If you are a (potential) customer, we use your data to send you a quote, determine the specifications or wishes that a particular product or service must meet, deliver goods or perform work for you, invoice you, and communicate promptly and efficiently with you regarding the execution aspects of the agreement.
If you are a (potential) supplier or other contractor, your personal data is also necessary for concluding and executing the agreement. In purchasing, this is necessary to inform you of the specifications or wishes that a particular product or service must meet, to send you a quotation request, to place an order with you, to pay your invoices, and to communicate efficiently with you about other aspects of the agreement.
You are not obliged to provide us with your personal data. However, if you do not provide us with sufficient personal data, it may not be possible for us to carry out the aforementioned tasks.
Disclosure to Third Parties
In order to execute any agreement with you, it is possible that we must provide your personal data to parties that supply us with components, materials, and products or that carry out work on our behalf. Furthermore, we make use of external server space for the storage of (parts of) our sales and purchase administration, of which your personal data form a part. For this reason, your personal data will be provided to our server space provider. We also use Microsoft Office and its associated storage options for emails and other files.
Retention Period of Personal Data
If you have requested a quote from us but have not become our customer, we will delete your data no later than one year after our last contact. Similarly, if we have received a quote from you but have not become your customer, your personal data will be deleted no later than one year after our last contact. If you have indeed become our customer or we have become your customer, we will retain your personal data for a period of seven years after the end of the financial year in which the agreement with you was fully executed. The seven-year period corresponds to the period within which we are required to retain our records for the Tax Authorities. After this period, we will delete your personal data.
Your Rights
You have the right to request access to your own personal data. If there are grounds for doing so, you may also request the addition of your personal data or the correction of inaccuracies. Additionally, you have the right to request the deletion of your personal data or to restrict the use of your personal data. You may also object to the collection and use of your data or file a complaint with the Data Protection Authority. Finally, you can request access to your personal data or the transfer of that data to another party.
